Facilities
The Chambers is available for reservation at the following rental rates:
Meetings- $50.00 per hour (HOA Meetings use this rate)
Non-Profit Meetings- $25.00 per hour
City-required Public Input Meetings- $25.00 per hour
Special Events- $300.00 per hour, $150 Room Setup Fee
Security Deposit Required for Special Events.
Note:
No regularly scheduled, long term meetings or events available for booking.
For all reservations, the City Council dais must stay in place and not be used. There are 96 chairs set up in the room. The room may not be rearranged, unless you are scheduling a special event.
The Audio/Visual equipment is for City meeting use only and is not available for use during rentals.
The doors to the facility will not open until your scheduled start time. If you need additional time for set up or break down, please include it in your rental request time.
Facility Attendant
The facility attendant is provided strictly for set-up, informational, or emergency purposes. They are not wedding planners or event coordinators and should not be assumed to be as such. The responsibility of running the event falls solely on the applicant.
The rental fees cover the usage of the facility only.
Confirming and Retaining Your Booking
An event will only be considered a confirmed booking once all fees have been paid and all forms have been completed. Invoices are due immediately upon acceptance of your reservation. Invoices can be paid easily online with a credit card by logging into your user account once the reservation is accepted and invoiced. If paying by check, arrangements must be made with the parks and recreation department staff and received within 7 days of the reservation date. Checks should be made payable to City of Woodstock and mailed to105 East Main Street Suite 142, Woodstock, GA 30188.
Refundable Security Deposit
A minimum refundable security deposit of $250 will be charged on all events having food. The City of Woodstock reserves the right to raise the refundable security deposit up to a maximum of $1,500 at the discretion of the Parks and Recreation Director.
Facility must be left clean. Trash must be removed from the premises to the dumpster in the parking lot. Tables and floors must be kept free of trash, liquids, and food items. If the facility is left unclean or if there is any damage to the facility; the result will be the loss of the security deposit. Security deposits are not limited to these failures.
The security deposit will be refunded by check within two weeks after completion of the event pending a full inspection of the facility.
If you are booking an event with catering or alcohol, the catering and alcohol policies will be provided to you.
Payment in full and a signed rental agreement will be required upon meeting approval.
Please note the credit card convenience fee is $1.95 per transaction.
